Overview
A memorandum (memo) is an internal document used to communicate information within an organization. Unlike a letter, a memo does not use a salutation or complimentary closing. Instead, it opens with a standardized header block — TO, FROM, DATE, and SUBJECT (or RE) — and gets straight to the point. Memos are used for policy announcements, project updates, procedure changes, and other internal communication that requires a formal written record.

Does a memo need a signature?
Traditionally, the sender initials or signs next to their name in the FROM line to authenticate the memo. A formal signature block is not used — that is a letter convention.
When should I use a memo instead of an email?
Use a memo when you need a formal, permanent record — policy announcements, procedural changes, or official decisions. Email is fine for informal updates. In practice, many organizations now send memos as email attachments.
How long should a memo be?
One page is ideal. Complex topics may go to two pages, but always lead with the most important information. Memos are not the place for lengthy background — be direct.
What is the RE line in a memo?
'RE' stands for 'regarding' and serves as the subject line of the memo. It should be specific and descriptive — 'Updated Leave Policy Effective Q2' is better than just 'Policy Update.'
Can a memo be sent to external parties?
Memos are generally for internal use. For external communication, use a formal business letter. However, some industries do share internal memos externally (e.g., in legal proceedings), so always write with care.
