Dear Dr. Nguyen:
I hope this letter finds you well. I am writing to ask whether you would be willing to serve as a professional reference for me as I apply to graduate programs in applied economics this fall.
Your course in Econometrics during my junior year was one of the most formative experiences of my undergraduate education, and I believe you would be well positioned to speak to my analytical abilities and academic work ethic. I performed strongly in your class and had the opportunity to expand on my final project during an independent study the following semester.
I plan to submit applications to five programs in October and would need references submitted by November 15, 2026. I would be happy to provide my resume, statement of purpose, and any other materials that would be helpful as you prepare your letter. I can also meet with you at your convenience to discuss my goals.
Please let me know at your earliest opportunity whether you are able to assist. I am deeply grateful for your consideration.
Respectfully,
Michael Torres

Dear Customer Service Manager:
I am writing to formally bring to your attention a serious defect in a product I purchased from Apex Appliances and to request a full refund or replacement.
On February 10, 2026, I purchased an Apex Model X200 dishwasher (Serial No. AX200-887432) from your authorized retailer in Austin, Texas. The purchase price was $649.99. Within three weeks of installation, the dishwasher began leaking water from the door seal, causing minor water damage to my kitchen floor. I contacted your customer service line on March 2, 2026 (Reference No. 556712) and was advised to run the machine through a diagnostic cycle, which I did. The problem persists.
I am requesting either a full replacement unit at no cost or a complete refund of the purchase price. I am also requesting reimbursement of the $85 service call fee I incurred on March 10, 2026 when your technician confirmed the defect was a manufacturing issue. Copies of all relevant receipts and the technician's report are enclosed.
If I do not receive a satisfactory response within 14 business days, I will pursue resolution through the Texas Attorney General's Consumer Protection Division.
Sincerely,
Sandra Kim

Which formal letter format should I use?
Block format is the most widely accepted and is suitable for virtually any formal letter. Modified block and semi-block are also correct but are seen less frequently. When in doubt, use block format.
Should I use a colon or comma after the salutation?
In formal letters, always use a colon (Dear Ms. Smith:). A comma is acceptable in personal or casual correspondence but is not standard in formal business letters.
How do I format a formal letter if I don't know the recipient's name?
Use 'Dear [Department Name]:' (e.g., Dear Admissions Committee:) or 'To Whom It May Concern:' as a last resort. 'Dear Sir or Madam:' is another traditional option, though less common today.
What closing should I use in a formal letter?
'Sincerely' and 'Respectfully' are the most common and appropriate for formal letters. 'Best regards' and 'Yours truly' are also acceptable. Avoid casual closings like 'Thanks' or 'Cheers.'
How many spaces should I leave for a signature?
Leave three to four blank lines between the closing and your typed name so you have room to sign. If you're submitting electronically, you can insert a digital signature or simply type your name.
