How to Write a Thank You Note

A thank you note is one of the simplest gestures with one of the highest returns. It takes three minutes to write and can leave a lasting impression — whether you're following up after a job interview, thanking a friend for a generous gift, or expressing gratitude to someone who opened their home to you.
The most effective thank you notes are specific, timely, and genuine. 'Thank you for everything' is well-intentioned but forgettable. 'Thank you for driving three hours to be at the ceremony — seeing your face in the crowd meant more than I can say' is something someone keeps.

Thank you notes for gifts should be sent within a week, or within two weeks for wedding and shower gifts. Be specific about the gift and, when possible, mention how you plan to use it or how it made you feel. Should I send a thank you note after every job interview?
Yes, always. Even if you're not interested in the role after the interview, a thank you note is professional courtesy and protects your reputation. If you interviewed with multiple people, send a personalized note to each one.
Is a text message an acceptable thank you?
For casual relationships and everyday gestures, a text is fine. For significant gifts, formal situations (interviews, hospitality), or after a death, a proper written note — email at minimum — is more appropriate and will be more appreciated.
How long should a thank you note be?
Three to five sentences is enough for a personal thank you note. Interview follow-up emails can be slightly longer (three short paragraphs), but should never exceed one page. Brevity with specificity is more powerful than length.
What if I forgot to send a thank you note?
Send it anyway. A late thank you note is always better than no note at all. You can briefly acknowledge the delay: 'I realized I never properly thanked you for...' Most people are touched by the gesture regardless of timing.
Do I need to send individual thank you cards after a wedding?
